POLICIES, RULES, AND REQUIREMENTS

We offer clear and comprehensive policies to help protect both our owners and guests. While we strive to keep all online and printed material current, policies can change without notice. Please call our friendly and knowledgeable staff with any questions.
ARRIVAL & DEPARTURE
Guest’s reservation begins at 4PM on the arrival date and ends at 10AM on the departure date. Early arrivals and late departures are not available due to service scheduling. Keys and an arrival packet are available at Agent’s office during this period. The reservation holder must be present at arrival with valid, picture ID. Reservations for properties with keyless entry may proceed directly to the home. Instructions will be emailed 3 days prior to your arrival. A late fee of ½ the published daily rate is charged for departures after 10AM on the scheduled departure date.
DISCLOSURE
HOMES AND FURNISHINGS ARE PRIVATELY OWNED, with Dunes Properties acting solely as Agent for the property Owner. Guest is a licensee of the Owner, is not a tenant, and is not acquiring any interest in the property.
FURNISHINGS & EQUIPMENT
Your vacation rental includes a standard supply of linens for the bedrooms and bathrooms. Please plan to bring or purchase kitchen towels along with any depletable groceries and vacation supplies. Examples of Items to Bring or Purchase: Soap & Shampoo, Dish & Laundry Detergents, Trash Bags, Toilet Tissue & Paper Towels, etc.
 
All properties are privately owned & decorated and are equipped with basic kitchen, bathroom, and bedroom accessories. These arrangements may change without notice
GUEST NEGLECT & LIABILITY
Any damage and/or additional cleaning intentionally caused by neglect of Guest or Guest’s occupants will be immediately charged to Guest’s credit card. Smoking in a property will result in a $1000.00 charge to Guest’s credit card. Agent is not responsible for any personal articles lost, stolen, or left on the premises. Guest agrees to indemnify and hold harmless Dunes Properties of Charleston, Inc and property Owner from any and all incidents and/or injuries which may occur while using the premises or surrounding area.
MAINTENANCE & HOUSEKEEPING
All properties are serviced at departure by third party cleaning companies. Refunds, compensation, alternate accommodations, or discounts are not available for housekeeping dissatisfaction. Guest acknowledges equipment breakdowns may occur, and Guest agrees to contact Agent so maintenance can be scheduled. Agent and Owner are not responsible for the working condition or malfunction of any equipment such as but not limited to air conditioners, TVs, DVDs, stereos, refrigerators, ovens, or ranges. Refunds, compensation, alternate accommodations, or discounts are not available for appliance failure, mechanical failure, utility interruption, or area construction.
MANDATORY EVACUATIONS
If state or local authorities order a mandatory evacuation of the area that includes the property, Guest must comply with the order. Upon compliance, Guest will be entitled to a refund of the prorated rent for each night the Guest is unable to occupy the property due to the order. However, Guest will not be entitled to a refund if, prior to Guest vacation: Guest refused Travel Insurance offered by Agent, or Travel Insurance was not offered by Agent. Travel Insurance must be purchased prior to a storm being named in order to be eligible for coverage for hurricane related issues such as mandatory evacuation.
MINIMUM STAYS RESTRICTIONS
During certain seasons, reservations may require a minimum number of nights or a specific arrival date. Restrictions may apply for holidays and are subject to change.
OCCUPANCY LIMITS, RULES, AND REGULATIONS

The Occupancy limit is listed on the specific property page on CharlestonCoastVacations.com. House parties, weddings, functions, events, bands, mobile units, campers, and RVs are prohibited. Occupancy and use of premises shall not disturb or offend surrounding residents. The occupancy limit for the property is the maximum amount of guests permitted on the premises at any time. Agent reserves the right to terminate this Agreement and require Guest to vacate premises immediately without refund if occupancy is misrepresented or disturbance is reported.

 

Guest warrants he/she is 25 years of age or older and will be present for the entirety of the stay, and Agent reserves the right to verify age at any time. Agent reserves the right to refuse occupancy and terminate this agreement without proper identification by Guest. Certain properties have particular rules and regulations which must be observed. These rules may include but are not limited to parking, pool use, grill use, and smoking area. Additionally, boats, trailers, jet skis, and recreational vehicles are prohibited in most communities.

Due to community association restrictions, limited parking passes are provided to rental agencies for most villas and town homes, so please make appropriate travel plans.

PAYMENT SCHEDULE & CANCELLATION
Initial payment is 50% of the base rental rate and due by the reservation confirmation date. The remaining balance is due 30 days prior to arrival. The credit card provided during booking is charged on these dates unless a payment by check is received prior to each due date. As allowed by SC law, payments are not refundable and reservations cannot be changed as properties are individually owned and reservations are time sensitive. Returned checks incur a $75 NSF fee.
 
In the event a guest is unable to utilize a reserved property and another guest replaces the original guest’s reservation, dunes properties will extend the courtesy of refunding all payments made excluding travel insurance and a $100.00 administration fee. This courtesy ensures the property owner receives payment for dates held by a guest and made unavailable to other potential guests. In this event, refunds will be processed only after the new reservation is confirmed.
 
Only 1 credit card should be used for a reservation. Other members of a guest’s group may submit a check with the reservation number. In the event a card is charged as scheduled and guest requests a different card be used, a $45 Charge Change Fee will apply to credit the original charge and issue a new charge.
 

2025 Cancellation Policy (in effect for reservations made after November 11, 2024)

All cancellations must be submitted in writing. The payment schedule remains unchanged, with the initial and final payments due as originally scheduled. Refunds are based on the notice period provided: cancellations made 60 or more days before arrival receive a 100% refund, minus a 3% cancellation fee; cancellations made 31 to 59 days before arrival receive a 50% refund, minus a 3% cancellation fee. Within 30 days of arrival, no refund is provided; however, if the property is re-rented at the same rate, a refund may be issued for re-rented dates, minus a 3% rebooking fee. If the property is partially rebooked or rebooked at a reduced rate, a prorated refund will be issued, also minus a $100 rebooking fee. If the property is not rebooked, all payments will be forfeited.

Changes to arrival or departure dates within 60 days of arrival are treated as cancellations and will follow the refund schedule. Changes made outside of 60 days before arrival may be made once, provided they fall within the same calendar year. No refunds are provided for cancellations due to weather, illness, travel delays, or other unforeseen events unless covered by travel insurance. If the property owner removes the property from the rental program, guests will be relocated to comparable accommodations or receive a full refund if no comparable options are available. Travel insurance is strongly recommended to cover potential losses from illness, travel disruptions, or evacuations; if purchased, it must be paid in full at booking.

PETS

Pets are prohibited in all properties unless specifically designated in writing as “pet-friendly.” If pets are present in a property not designated as “pet-friendly,” Agent reserves the right to terminate this agreement, charge a fee of $1000.00, and require Guest to vacate premises immediately without refund, compensation, or alternate accommodations. A non-refundable, per pet fee is charged to reservations in properties designated in writing as “pet-friendly.”

PRIVACY POLICY

By providing your phone number and email address, you agree to receive text messages and other electronic communications from our company. Message and data rates may apply. Message frequency varies. 

PROPERTY SUBSTITUTIONS & PROPERTY FOR SALE

Occasionally, a property may become unavailable prior to arrival, due to but not limited to sale, damage, or unforeseeable circumstances. Agent reserves the right to substitute reasonably comparable accommodations without notice or liability should a property become unavailable prior to arrival. If reasonably comparable accommodations are not available prior to arrival, Agent will make every effort to notify Guest and will refund all payments to Guest, excluding travel insurance if any. Occasionally a property may be for sale. In such cases, Agent reserves the right to show the property to potential buyers during Guest’s vacation.

RED SKY TRAVEL INSURANCE

Guest may elect to purchase Travel Insurance to protect their vacation. Although this protection plan is optional, it is strongly recommended. The Travel Insurance is offered and administered by Red Sky Travel Insurance and covers a variety of travel problems. Guest acknowledges receipt of the Description of Coverage provided with the reservation confirmation. Guest acknowledges Travel Insurance provided by Red Sky Travel Insurance is the only method for compensation for vacation interruption/cancellation and is limited to covered events and acknowledges receipt of Plan & Disclosure. Guest acknowledges Agent will not provide refunds, compensation, alternate accommodations, or discounts for vacation interruption or cancellation for any reason including but not limited to hurricane evacuations, inclement weather, natural disasters, medical emergencies, or delayed travel. Travel Insurance is not refundable after 10-days from the date of payment and/or booking and is not transferable. DESCRIPTION OF COVERAGE

Sales & accommodations taxes and fees are an additional 19%. Housekeeping is provided at departure and a fee may apply to reservations under 4 nights.

WILDLIFE & PESTS IN SEMI-TROPICAL HABITATS
Each year, millions of visitors select Charleston to experience the enchanting wildlife our beautiful coastal area offers. Many do not realize the beaches of Charleston, SC are semi-tropical barrier islands rich in wildlife. In such a habitat, it is common to see other forms of wildlife commonly referred to as “pests.” Some pests which are common to our area are Mosquitoes Culicidae, Ants Formicidae, Sand Gnats “No See Ums” Dipteran, Cockroaches “Palmetto Bugs” Blattaria, Bedbugs Cimicidae, Bees Anthophila, Wasps Hymenoptera, Fruit Flies Drosophila melanogaster, Spiders Araneae, and many others. Over the past few years, some “pests” are receiving heightened attention in the media due to the recent spike in public reports. Hotels, resorts, private residences, vacation rentals, taxis, campsites, and all places where high volumes of people visit are reporting an increase in these less desirable although naturally occurring pests. In the travel industry, no guarantee exists to prevent a traveler from encountering any of these pests. However, steps are taken at dunes properties to reduce the likelihood of such an experience. Each of our clients, the homeowners, have routine pest service and inspections. This not only provides a more comfortable environment, but also allows for a proactive approach to the reduction of naturally occurring pests. Additional to this service, we recommend all renters thoroughly inspect a property immediately upon arrival due to the nature of the travel industry and the rise in reports. By electing to rent a vacation rental property, it is important to recognize no guarantee can be made regarding the encounter of pests. Alternative accommodations, discounts, credits, or refunds are not available due to an encounter with this less desirable aspects of nature and the travel industry.
